Residence Hall Contract Release Process

The residence hall contract you signed is a legally binding agreement for the full academic year, covering both the fall and spring semesters. However, under extreme circumstances, students may request to be released from their contract.

To be eligible for a contract release, there must have been an unforeseen and significant change in your circumstances since signing your contract that prevents you from fulfilling your housing obligation.

Common Reasons for a Contract Release

Students may be considered for release if they meet one of the following criteria:

  1. Have completed the four-semester on-campus residency requirement
  2. Are 21 years of age or older
  3. Will be living with a parent/legal guardian within a 50-mile radius of campus
  4. Other exceptional circumstances (reviewed on a case-by-case basis

Important Notes: 

  • Each request is reviewed individually, and approval is not guaranteed.
  • Requests must include supporting documentation. Requests submitted without documentation will not be considered.

How to Submit a Contract Release Request 

  1. Log into your MyFairmontState account.
  2. In the Student Links box, click on Housing.
  3. Once in the housing portal, select "Housing Exemption/Contract Release Request" in the top maroon menu.
  4. Requests typically take 2-4 weeks for review.

Circumstances That Do Not Qualify for a Contract Release

Some reasons are not considered sufficient for release. While this is not an exhaustive list, here are the most common:

Financial Reasons

Housing contract releases are not granted for financial difficulties or changes in financial status. Students are encouraged to:

  • Speak with the Financial Aid Office to explore available aid options.
  • Meet with the Student Success Team for guidance on payment plans, scholarships, and financial resources.

Roommate Conflicts

While we encourage personal growth through conflict resolution, we offer multiple resources to assist with roommate concerns, including:

  • Mediation with your Resident Assistant (RA) or Resident Director (RD).
  • Room changes based on availability.
  • We do not approve contract releases based on concerns related to race, sex, religion, age, national origin, or disability, as defined by law

Room Preferences

Students are responsible for submitting their housing application in a timely manner. We strive to provide transparent communication about room availability, but contract releases will not be granted due to dissatisfaction with room selection or availability. To ensure the best housing options, students should apply as early as possible.
